Receipts and putaway

Receipts and putaway

Create receipts, receive goods (partly, or more than expected) and put them away to bins; each warehouse uses one-step or two-step receiving.

Before you start

Needs an open built-in book. Supervisors and administrators create and receive; only administrators reverse receiving and putaway. Choosing a posting date other than today needs the backdating permission, which supervisors and administrators have by default.

Steps

1. New receipt: choose the supplier and warehouse and add products and expected quantities; the draft can be created once everything is filled in. The posting date starts on today, follows the expected date when you fill one in, and can be set by hand.

2. Receive: type or scan the barcode and quantity and check the posting date. Lot-tracked products need a lot; leave the expiry empty to use the shelf life. Receiving more than expected needs a confirmation.

3. With two-step receiving, use Put away to move the goods from the receiving bin to storage bins. When everything is received (and put away), choose Complete.

Verify the result

Receiving and putaway post to the stock ledger at once and count for the chosen posting date; completing records the shortage or excess of every line.

Notes and examples

Example: expected 100, received 60 and then 30; completing records a shortage of 10. One lot has one expiry date. For a receipt missed last week, choose that day as the posting date: stock goes up at once, and the movement summary counts it for last week.

Limitations

Once receiving starts, the warehouse, supplier, reference, posting date and received lines cannot change. To correct a date, reverse and receive again on the right day; reversing on a completed receipt reopens it, and shortages are worked out again when it is completed. The posting date cannot be in the future or beyond the days a posting may be backdated (31 by default). A send is deduplicated by its operation key, so a resend never receives twice. No receipts in the external mode.

Troubleshooting

Reverse the putaway before reversing its receiving. If a bin is missing, check that it is active and belongs to the warehouse, or change one-step or two-step in the receiving settings. Goods that were moved or shipped cannot be reversed. If a posting date is refused, the message gives the earliest day; if backdating takes a past day below zero, you are asked to confirm first. Lists show the last 7 days of posting dates by default, and unfinished documents always show; widen the posting or planned dates to find older ones.
